CANCELLATION AND REFUND POLICY

  1. OVERVIEW

This Cancellation and Refund Policy explains how to cancel or reschedule your event and what refunds, if any, you may be entitled to receive. By booking our services, you agree to this policy.

  1. HOW TO CANCEL YOUR EVENT

To cancel your event, you must submit a written cancellation request via email to info@nextlevelgamingfl.com and include:

  • Your booking confirmation number
  • Your full name
  • Event date and time
  • Reason for cancellation (optional)

Cancellations are not effective until you receive written confirmation from the Company.

Phone cancellations are not accepted. All cancellations must be submitted in writing via email.

  1. CANCELLATION TIMELINE AND REFUNDS

3.1 Cancellations with 14 or More Days’ Notice

If you cancel your event fourteen (14) or more days prior to your scheduled event date, you will receive:

  • Full refund of your deposit, minus a $50.00 processing fee
  • Refunds will be processed within 7-10 business days to your original payment method

Example: If your event is scheduled for October 30th and you cancel on or before October 16th, you will receive a refund minus the $50 processing fee.

3.2 Cancellations with Less Than 14 Days’ Notice

If you cancel your event less than fourteen (14) days prior to your scheduled event date:

  • NO REFUND will be issued
  • All payments, including deposits and final payments, are forfeited in full
  • This policy applies regardless of the reason for cancellation, including illness, weather concerns, change of plans, or personal emergencies

Example: If your event is scheduled for October 30th and you cancel on October 17th or later, you will not receive any refund.

3.3 No-Show Policy

If you or your event host are not present at the scheduled event location at the scheduled time, or if access to the location is denied, your event will be considered a “no-show.”

No-show events:

  • NO REFUND will be issued
  • All payments are forfeited in full
  • The Company is not obligated to provide services or reschedule

We will make reasonable efforts to contact you before declaring a no-show (minimum 15-minute wait time and at least two contact attempts).

  1. RESCHEDULING YOUR EVENT

4.1 How to Reschedule

To reschedule your event, submit a written request via email to info@nextlevelgamingfl.com and include:

  • Your booking confirmation number
  • Current event date and time
  • Requested new date and time (provide 2-3 alternative dates for best availability)
  • Reason for rescheduling (optional)

Rescheduling is not confirmed until you receive written confirmation from the Company with your new event date and time.

4.2 Rescheduling Policy

First Rescheduling Request:

  • FREE (no additional fees)
  • Subject to availability
  • New event date must be within ninety (90) days of your original event date

Subsequent Rescheduling Requests:

  • Subject to availability
  • May incur additional fees at the Company’s discretion

Rescheduling Deadline:

  • Your event must be rescheduled within 90 days of the original event date
  • If not rescheduled within 90 days, all payments are forfeited and no refund will be issued

4.3 Weather-Related Rescheduling

If the Company initiates rescheduling due to severe weather:

  • No rescheduling fees apply
  • You may accept the new date or receive a full refund

If you request rescheduling due to anticipated weather:

  • Standard rescheduling policy applies (first reschedule free)
  1. COMPANY-INITIATED CANCELLATIONS

5.1 When We May Cancel

The Company reserves the right to cancel or reschedule your event due to:

  • Severe weather conditions (lightning, thunderstorms, high winds, flooding, tornado/hurricane warnings)
  • Equipment failure or malfunction
  • Force majeure events (natural disasters, pandemics, government orders, acts of terrorism, war, civil unrest)
  • Safety concerns for our personnel, guests, or equipment
  • Breach of our Terms of Service
  • Unsuitable or unsafe event location

5.2 Your Options if We Cancel

If the Company cancels your event, you may choose:

Option 1: Full Refund

  • Refund of all payments made, including your deposit
  • Refunds processed within 7-10 business days to your original payment method

Option 2: Free Rescheduling

  • Reschedule your event at no additional charge
  • Subject to availability
  • New date must be confirmed in writing

5.3 What We Are NOT Responsible For

If the Company cancels your event, we are NOT liable for:

  • Venue rental costs
  • Catering expenses
  • Decorations or party supplies
  • Invitations or printing costs
  • Travel expenses or lodging
  • Guest accommodations
  • Emotional distress or disappointment
  • Any other expenses related to your event

Our total liability is limited to the refund of payments made to the Company for your specific event.

  1. REFUND PROCESSING

6.1 Refund Timeline

Approved refunds will be processed within seven to ten (7-10) business days from the date of cancellation confirmation.

Refunds will be issued to the original payment method used for the booking. Please allow an additional 3-5 business days for the refund to appear in your account, depending on your financial institution.

6.2 Processing Fee

All refunds for cancellations with 14+ days’ notice are subject to a $50.00 non-refundable processing fee to cover administrative costs.

6.3 Non-Refundable Items

The following are non-refundable under any circumstances:

  • Processing fees ($50.00)
  • Travel surcharges
  • Credit card convenience fees
  • Any services already rendered
  1. PAYMENT DISPUTES AND CHARGEBACKS

7.1 Contact Us First

If you have a dispute regarding a charge or refund, please contact us at info@nextlevelgamingfl.com or (407) 602-8811 before initiating a chargeback with your credit card company. We will work with you in good faith to resolve any billing issues.

7.2 Chargeback Policy

Initiating a chargeback for services that were provided or for cancellations that do not qualify for a refund under this policy may result in:

  • Legal action to recover the disputed amount plus costs and attorneys’ fees
  • Prohibition from booking future services with the Company
  • Reporting to credit bureaus and collections agencies
  1. EXCEPTIONS AND SPECIAL CIRCUMSTANCES

8.1 Emergency Situations

In the event of documented medical emergencies, family emergencies, or other extraordinary circumstances, the Company may, at its sole discretion, make exceptions to this policy. All exception requests must be submitted in writing with supporting documentation (e.g., doctor’s note, death certificate, hospital records).

Exception requests are reviewed on a case-by-case basis and are not guaranteed.

8.2 Military Deployment

Active-duty military personnel who receive deployment orders after booking may be eligible for special consideration. Contact us with a copy of your deployment orders for review.
